These Terms and Conditions ("Terms") outline the contractual agreement between you ("Client" or "Traveler") and Vandana Travels ("Agency," "we," "us," or "our") regarding the booking and provision of travel-related services.
1. Booking, Confirmation, and Documentation (Detailed)
A booking is confirmed only upon receipt of the specified deposit or full payment as per the itinerary and the Agency's written confirmation. All traveler names and details must match the passport exactly. Any discrepancies or late document submission may result in cancellation or re-booking fees, which are the responsibility of the Client.
- **Passports & Visas:** The Client is solely responsible for obtaining and possessing valid passports, visas, health clearances, and any other necessary travel documents for all points of travel. The Agency can offer assistance but cannot guarantee visa approval.
- **Pricing:** All quoted prices are subject to change until full payment is received, due to factors like currency fluctuations, fuel surcharge increases, or changes in government taxes.
2. Cancellation and Refunds (In-Depth Policy)
Cancellation requests must be submitted in writing. Refund amounts are subject to the policies of the airlines, hotels, and third-party suppliers, in addition to the Agency's service fee. Standard Cancellation charges apply as follows (this is illustrative and specific packages may vary):
- **60+ days prior to travel:** Full refund minus non-refundable deposits and a ₹2,500 administration fee.
- **30-59 days prior to travel:** Forfeit of deposit or 25% of the total cost, whichever is greater.
- **Less than 30 days prior to travel:** No refund on the total package cost.
The Agency strongly recommends purchasing comprehensive travel insurance at the time of booking to mitigate financial loss from unforeseen cancellations.
3. Agency Role and Limitation of Liability
Vandana Travels acts solely as an agent for third-party suppliers (e.g., airlines, hotels, tour operators). We are not liable for any acts, omissions, delays, injuries, losses, or damages caused by these third-party suppliers. Our liability for any claim shall not exceed the amount of service fees retained by the Agency for your specific booking.
The Agency is not responsible for force majeure events, including acts of nature, war, terrorism, government actions, or pandemics, that may disrupt or cancel travel plans.
4. Governing Law and Jurisdiction
These Terms and the relationship between the Client and the Agency shall be governed by the laws of India. Any legal action or proceeding arising out of or related to these Terms shall be brought exclusively in the courts located in **New Delhi, Delhi, India.**
